Insurance
As part of obligations to our insurance company, we are required to process your personal data to satisfy ourselves and the insurers, if it’s required to process an insurance claim, of your identity.
The insurance company requires us to maintain a copy the hirer’s (and additional drivers if relevant) driving licence, DVLA driver’s check code and copies of 2 forms of identification with address on.
We are advised by the insurers to keep copies of this information this for up to 24 months. This may be extended in cases of claims. If this is the case, you will be advised when the claim has been completed.
Alongside your copies of identification as outlined, we will also store your completed contract of hire. As we require a signed original we will keep this also as a hard copy in our internal files.
Your data may be shared with our insurers, a breakdown service provider or law enforcement, where required.

Security of campervan
A tracking device is fitted to the campervan to enable recovery of the campervan if it is stolen, for unauthorised use or where we suspect breach of this agreement.
We will not use this data for any purpose that will infringe your privacy. The data will not be shared with any other party, unless we are required by an agent authorised to request it, such as the police.
Any tracking data will not be kept after 6 months unless there is a specific reason to do so, in which case, you will be advised. You can request a copy of this data.
The tracking data does not contain any direct information that pertains to your personal identification.

We have ensured the 3rd party software we use for our online booking system and online book-keeping software complies with GDPR.
We do not hold any personal data on our own website as we use a secure online booking software. The secure online booking software holds their data within the UK.
As required by our insurance company we keep a digital and paper copy of your identification supplied and original signed copy of the hire agreement.
This is stored on cloud storage software that complies with GDPR. Our cloud storage software is hosted outside of the EEA. The software is certified compliant with the most widely-accepted security and privacy standards and regulations in the world, such as ISO 27001/2, ISO27018/17 and SOC 2.
The paper copies are stored in a locked filing cabinet that management only have access to.
